Department: Administration/President’s Office
SUMMARY:
Under the direction of the Executive Assistant to the President and the Vice President for External Relations/CCO, the Administrative Assistant provides administrative and secretarial support to the President’s Office and Marketing Department.
ESSENTIAL FUNCTIONS/RESPONSIBILITIES:
- Maintains confidentiality of the President’s Office
- Supports current detailed calendars for President’s Office and VP for External Relations/CCO, including scheduling both internal and external engagements
- Provides administrative, secretarial, and clerical assistance including monitoring deadlines and assuring timely follow-up, extensive schedule coordination, and meeting and travel arrangements
- Greets guests that enter Socquet House
- Answers telephone requests promptly and courteously
- Drafts correspondence and various letters and memoranda as instructed
- Prepares required files as needed and assists with materials and information collection regarding assessments, re-accreditations and other reports for College offices as needed
- Prepares Purchase Orders and reconciles budget reports
- Maintains an extensive in-office and electronic filing system, including confidential files
- Responsible for storage of appropriate files and for overseeing the orderly transfer and disposal of outdated files in conjunction with other College departments
- Provides administrative support for special projects and committees originating in the President’s and Vice President for External Relations/CCO Offices
- Provides meeting support as needed, including meeting agendas and note taking
- Work select night/weekend special events (e.g. Commencement events)
- Performs other related clerical duties assigned
CONTACTS:
Interacts on a regular basis with all members of the College community and public at large. Supervises work-study students as needed
QUALIFICATIONS and EXPERIENCE:
- Minimum of 5 years experience supporting C-Suite Office and executive leaders
- Bachelor’s Degree preferred
- Strong interpersonal and communication skills
- Microsoft Office, Word, Excel, PowerPoint, Publisher, Outlook Calendar
- Skilled in organizing resources and establishing priorities
- Knowledge of planning and scheduling techniques
- Records maintenance skills
- Ability to create, compose, and edit written materials
- Database management skills
- Ability to coordinate and organize meetings and/or special events
- Experience in a higher educational environment (preferred)
