Director of Student Accounts

Responsible for student billing including the collection of tuition and fees for the college, the disbursement of financial aid, processing credit balance refunds, analyzing and monitoring all student tuition accounts and working with outside collection agencies. The Director of Student Accounts counsels’ students and their parents with the college’s billing policies and procedures. Professionalism and the ability to communicate both verbally and in writing are essential.

Essential Functions/Responsibilities:

Student Billing

  • Bill tuition and fees to all students by semester
  • Bill housing and meal charges to resident students
  • Send bills to requested external agencies – Veteran/Employer/Diocese etc.
  • Process monthly late fees, parking violations, and damage charges for resident students as instructed
  • Process health and tuition refund plan insurances and send required reports to the appropriate outside agencies in a timely manner
  • Process all student refunds
  • Responsible for the collection of tuition and fees net of Financial Aid
  • Liaison with outside collection agencies to ensure default rate is kept at a minimum
  • Work with Tuition Management System (Nelnet) to ensure payment plans are set up accurately for each student
  • Enter Nelnet annual budgets for each student
  • Ensure financial aid awards are posted timely to student accounts
  • Ensure all payments – Cashnet, Nelnet, over the counter – are processed promptly and accurately
  • Keep abreast of federal regulations and ensure compliance
  • Process electronic billing statements regularly
  • Run weekly and monthly reports as requested
  • Provide update on receivables and default rate
  • Work with ECSI on all aspects of Perkins Loans
  • Preparation and help with all annual reporting to include but not limited to, 1098T, Aging reports with write off recommendations, and audit reconciliations as needed.
  • Review Student Accounts website for accuracy and needed updates
  • Ongoing review of processes and ways to improve the operation, as well as ways Student Accounts can assist other departments
  • Other Duties as assigned by supervisor

 Supervisory Responsibility:

  • Supervises Student Accounts Staff

Contacts:

  • Daily interaction with the Financial Aid office, the Registrar’s office and the Residence Life office as well as all offices on campus as needed
  • Daily contact with students and parents regarding tuition accounts, external communication with collection agencies, loan billing services, and other colleges for annual research

Qualifications/Requirements:

  • Bachelor’s Degree; Business Management degree preferred
  • Strong knowledge of Excel and Microsoft Word
  • Strong interpersonal skills and the ability to articulate problems
  • Good judgment and the ability to organize and prioritize will optimize job performance
  • Maintaining a high degree of professionalism and maturity is necessary
  • Confidentiality regarding student information is crucial
  • Higher Education and Bursar experience preferred
