ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- First point of contact for all walk-ins and phone calls
- Assists with managing the database system of all student records
- Helps code incoming students
- Add exemption credits for all transfer students
- Assist the Registrar with generating Academic Calendars and Registration Calendars for students and staff
- Assists with the coding on/off-boarding forms from HR
- Assists Registrar with coding all courses and classrooms assignments
- Add and code new majors and minors in the degree audit as approved by the curriculum committee
- Verifies student schedules for accuracy
- Processes all forms submitted by advisors in all divisions for students. (add/drop, withdraw, course substitutions, etc.)
- Generate reports to staff, faculty, etc. upon request
- Assists staff in other departments in software training and general questions.
- Manages the database system of all student records current and passive and edits coding as needed
- Receive and send out transcripts and verifies for accuracy of data.
- Monitors midterm and final grade entries submitted by instructors to ensure that grades are processed in a timely fashion so that they are readily available for student access via the web and review by the Academic Dean.
- Manage work-study students and assign tasks
- Attends commencement meetings and provides graduation data for the honors list, and commencement book
- Verify, code, and process all Intent to Graduate forms
- Generate degrees awarded list to print students’ diplomas
- Oversee scanning old records into Radix
- Create training guides for Registrar’s office functions
- Assists the Registrar with enrollment and degree reporting to the National Student Clearinghouse
ADDITIONAL RESPONSIBILITIES:
- Participate in professional development activities and serve on college committees that support the goals and objectives of academic affairs
- Provide back-up for Registrar’s Office services, including registering students, issuing transcripts, answering phones, scanning, reporting grades and working special events
MINIMUM REQUIREMENTS:
- Bachelor’s degree required. Master’s degree in student services, educational administration, or a related area preferred.
- Proven record of successful supervisory experience in a people-oriented environment
- 3 years of direct experience or 5 years in a related area. Preferred 5 years of direct experience
- Demonstrated understanding of the application of technology to deliver Registrar’s Office services
- A proven record in working successfully with diverse populations
- A positive attitude and ability to plan and adapt to change
- Ability to collaborate effectively with college departments and cross-functional teams
- Strong interpersonal, oral and written communication skills
Salary Range: $52,000 – $57,000
